Your privacy matters to us. This page explains what information we collect when you visit kotarawellness.com or work with us, why we collect it, who helps us handle it, and your choices. If anything is unclear, just ask. Our contact details are below.

1. Who we are and how to reach us

KōTara Wellness ("KōTara," "we," "us") is a wellness practice led by Charishma Kothari. We offer Ayurvedic wellness guidance, sessions and programs. When this policy says "you," it means anyone who visits our site, joins our newsletter, takes our dosha quiz, books a call or session, or works with us as a client.

2. A quick note on what we do (and don't do)

KōTara Wellness offers educational wellness support. Our services support general wellness and personal insight. They are not medical care and are not intended to diagnose, treat, cure, or prevent any medical condition. Please keep working with your primary healthcare provider for medical advice.

Because we are a wellness practice and not a healthcare provider, we are not a "covered entity" under HIPAA, the US federal health privacy law. That doesn't change how carefully we treat what you share. We handle your health and wellness information as sensitive and confidential, as described below.

3. What we collect

We only ask for what we need to support you. Depending on how you use our site and services, this may include:

Newsletter (Squarespace Email Campaigns)

  • Your email address (and first and last name, if you share them) when you sign up for our newsletter.

  • Signing up is always optional and separate. On our quiz, for example, it's a box that starts unticked, and you choose whether to tick it.

Dosha quiz

  • Your first name, email address and quiz answers, and the result they produce.

  • We use your email address to send you your full result and tips. We only add you to our newsletter if you tick the separate newsletter box.

  • The quiz runs on Tally, an online form tool. Your quiz answers and email address are stored with Tally (in the EU) and in Google Sheets, and are used to send your result by email.

Clarity Calls, bookings and intake forms (Acuity Scheduling)

  • Your name, email address and phone number.

  • Your answers to booking or intake questions, and the details of your appointment (date, time, service).

  • Booking and intake forms run through Acuity Scheduling.

Payments (Stripe)

  • When you pay for a session or program, Stripe handles your payment. Stripe processes your card details, and we don't see or store your full card number. We receive limited details such as your name, email, the amount paid, the date and payment status.

Video sessions (Zoom)

  • If we meet online, we use Zoom. Zoom receives what it needs to run the call, such as your display name, your email (if you give it) and technical details about your device and connection. We don't record sessions unless we've asked you first and you've agreed.

Health and wellness information (intake and practitioner forms)

  • Before and during our work together, we may ask about your health history, lifestyle, digestion, sleep, stress, cycles, diet, medications, goals and similar wellness details.

  • We treat this as sensitive information. It is kept confidential, shared with no one except the service providers who store it for us, and used only to support your sessions and wellness plan. You choose what to share, and you can skip any question you're not comfortable answering.

Messages you send us

  • If you use our contact form or email us, we receive your name, email and whatever you choose to write.

Site analytics and cookies (Squarespace)

  • Our website is hosted by Squarespace. When you visit, Squarespace automatically collects technical information using cookies and similar technologies. This includes your IP address, browser and device type, the pages you visit, the site that sent you here, and similar usage details.

  • We use Squarespace's built-in analytics and standard cookies, plus the cookies Squarespace Commerce uses for its store and checkout features. We use these analytics to understand how the site is used and to improve it.

  • You can block or delete cookies in your browser settings. Some parts of the site may not work as well without them.

4. Why we use your information

We use your information to:

  • Schedule, prepare for and hold your calls and sessions.

  • Create and follow up on your personalized wellness plan.

  • Email you your full dosha quiz result and tips.

  • Take payment and keep basic business and tax records.

  • Send our newsletter, if you've signed up.

  • Reply to your questions and messages.

  • Keep our site working, secure and improving.

  • Meet our legal obligations.

We do not sell your personal information. We do not share it for advertising purposes, and we never use your health and wellness information for marketing.

5. Who we share it with

We share your information only with the service providers that help us run the practice, and only what they need to do their job:

  • Squarespace — hosts our website, forms and site analytics.

  • Squarespace Email Campaigns — sends our newsletter.

  • Acuity Scheduling (a Squarespace company) — handles bookings, reminders, booking and intake forms, and client records.

  • Tally — runs our dosha quiz and stores your quiz answers and email address in the EU.

  • Google (Google Sheets and Gmail) — stores your quiz answers and email address, and sends your quiz result by email.

  • Stripe — processes payments.

  • Zoom — hosts our video sessions.

Each of these companies handles information under its own privacy policy, which you can read on its website.

We may also share information if the law requires it (for example, in response to a valid court order), to protect someone's safety, or to protect our rights. If the practice were ever transferred to a new owner, your information would move with it, and this policy would continue to protect it.

6. Our newsletter

Our newsletter is opt-in. You'll only get it if you sign up, and signing up is always separate from taking our quiz or booking with us. Every email includes an unsubscribe link. You can unsubscribe anytime, either with that link or by emailing us. Unsubscribing from the newsletter won't affect messages about sessions you've booked.

7. How long we keep it

We keep information only as long as we need it:

  • Newsletter details: until you unsubscribe. After that, we keep only what's needed to honor your opt-out.

  • Dosha quiz answers and results: 2 years from your last interaction with us, or sooner if you ask us to delete them.

  • Client records, including intake forms and session notes: 7 years after our last session, so we can support you if you return and meet any legal requirements.

  • Payment and booking records: as long as needed for tax, accounting and legal purposes.

When we no longer need information, we delete it or make it anonymous.

8. How we protect it

We use reputable service providers that maintain their own security safeguards. We limit access to your information to the people who need it to support you, which in practice means your practitioner. We use secure, password-protected accounts. Your health and wellness information is kept confidential and is never used for anything other than supporting your sessions.

No website or online service can be 100% secure. We take care to protect what you share, and we'll let you know if something goes wrong in a way that affects you, as the law requires.

9. Your choices and rights

You're in charge of your information. You can ask us to:

  • Access — tell you what information we hold about you and send you a copy.

  • Correct — fix anything that's inaccurate or out of date.

  • Delete — erase your information, unless we're required to keep some of it (for example, payment records for tax purposes).

You can also unsubscribe from our newsletter at any time and skip any question on our forms.

To make a request, email info@kotarawellness.com. We may need to confirm your identity first. We'll respond within a reasonable time, and we won't treat you differently for asking.

US state residents (for example, California)

Depending on where you live, you may have the right to know what categories of information we collect and share, to opt out of the "sale" or "sharing" of your information, to limit how sensitive information is used, and to appeal a decision about your request. We don't sell your information or share it for cross-context behavioral advertising. We honor these rights where required by law. To use any of these rights, email us. Where the law allows, you may also use an authorized agent.

People in the EU, UK and Canada

Depending on where you live (for example, in the European Union, the United Kingdom or Canada), you may have the right to object to or restrict certain uses of your information, to receive it in a portable format, to withdraw consent at any time, and to complain to your local data protection authority. We honor these rights where required by law. We're based in the United States. Our service providers may store and process information in the US and other countries.

10. Children

Our site and services are intended for adults 18 and older. We don't knowingly collect information from anyone under 18. If you believe a young person has shared information with us, please contact us and we'll delete it.

11. Links to other sites

Our site links to other services (such as our booking page and Instagram). Those services have their own privacy policies, and we encourage you to read them.

12. Changes to this policy

We may update this policy from time to time. When we do, we'll change the effective date at the top of this page. If the changes are significant, we'll also let you know more directly (for example, by email or a notice on the site).
